Line Items Grouping + Calculations

Group lines items to create more structure in your line item tables

General

DocsAutomator allows to group according to values for a given line item placeholder / variable. See the example below, grouped according to variable / placeholder "Status":

You set grouping in your automation settings under line items. Example for Airtable:

Merged cells will be unmerged when grouping is active

Options

You have various options to style group headers and the headline text displayed. You enable these options by clicking on the "gear" icon next to the group placeholder / variable:

The following options can be set:

  • Background Color

  • Text Color

  • Headline with two options: Placeholder — Value or Value only (if placeholder is "Status", the headline will be "Status — To-Do" or "To-Do" only depending on the setting here. More options will be added in the future)

  • Text Alignment: Left, center, right

  • Bold: Yes or no

  • Hide Grouping Key Column: Hides the column of the key used for grouping

  • Sort Order: Ascending, descending and manual (just the sort order of the groups, not the sort order inside of the groups)

    • Manual sorting: If you're selecting "Manual" sorting, you have the option to add group values which might be added:

      You can then change the order of these values. Those values that are not mentioned, will be added after the mentioned ones in alphabetical order.

Group Calculations

DocsAutomator lets you calculate sums, averages and more values for grouped items and adds them as a separate row below each group. Example:

Group calculations only work for number or currency number columns. Regular text columns will be ignored.

Number format is automatically detected and maintained

You have various group calculation options:

  • Column Calculations: This specifies for which columns DocsAutomator will add group calculations. Columns are given by line item key. Calculation types are "Sum", "Average", "Min", "Max", "Median" and "Count".

  • Background Color

  • Text Color

  • Row Text: Adds a text before the calculated items

  • Text Alignment: Sets the alignment of the added row text

  • Bold: Sets all added text and calculations as bold

  • Merge Cells: Merges cells preceeding row calculations

What determines the sort order?

The sort order of groups is alphabetical, alphabetically reversed or manual. Please see documentation above.
